ARLINGTON COWBOYS REFUND POLICY

If a participant has registered and elects to drop out of the Cowboys program, the participant may be eligible to receive a partial refund.  Participants wanting to drop from the program must first contact the AHYAA office by phone (847-870-0081) or email at football@ahyaa.org Details and the process will be explained at that time.  If the participant has received his equipment, the participant must return the equipment in order to receive a refund. If he/she has already been assigned to a division or team, the player must notify the division coordinator or team coach to make arrangements for the equipment return.  EQUIPMENT SHOULD NOT BE DROPPED OFF AT THE AHYAA OFFICE WITHOUT AUTHORIZATION TO DO SO.

After equipment is returned, refunds will take approximately two to four weeks to process and are subject to the following guidelines:

Late fees and non-resident fees are non-refundable. 

On-Line Registration fees are non-refubdable.

• If more than one family member participates in the Cowboys football tackle program, the “sibling” rate will be the basis for the registration fee refund unless all family members request a refund.  

Refund calculation:

• If a player withdraws from the program prior to August 1st, the registration fee less a $20 processing fee will be refunded.   

• If a player withdraws from the program after August 1st but prior to August 8th (team drafts), the registration fee less a $20 processing fee and $25 helmet reconditioning fee (Tackle only) will be refunded.     

• If a player withdraws from the program on or after August 8th but prior to August 25th (first game), the total registration fee less a $50 processing fee and $25 helmet reconditioning fee (Tackle only) will be refunded.   If a game-jersey has been issued and not worn in a game, the jersey must also be returned.  A $35 deduction will also be made from the refund for any game jersey kept, worn, or with a name printed on the back.  The participant may keep the jersey if worn or with a printed name.     

• If a player withdraws from the program after the first game, no refunds will be issued except in the case of an injury that prevents a player from returning for the remainder of the season.   In case of injury, the refund will be calculated starting with the registration fee less $80 total for processing fee, helmet reconditioning fee, and game jersey cost.  This gross refund will be reduced based upon the number of games already played at the rate of $15 per game.

Examples:

1) a player who registered for $220 and played 3 games will be due a refund of $220 less $80 in fees less $45 for games played – thus, an $95 refund. 

2) a sibling whose registration fee was only $140 and injured after the third game will be due only a $15 refund ($140 less $80 less $45 = $15 refund due). 

• Any donations, corporate sponsorships or fundraising money paid to AHYAA or Arlington Cowboys is considered non-refundable
